Moving estimate software.
Moving quote software has to do more than produce a nice PDF: it has to know what the job includes, what it does not, how much is paid up front, how long the price holds and what happens when the customer says yes. In byMovers the estimate lives inside the job file and becomes the invoice in one click.
An estimate is a contract, not a Word document
In a move, what gets argued about on loading day was nearly always badly written in the estimate: a service the customer assumed was included, insurance nobody mentioned, a validity date that did not exist. When estimates are written in a word processor, each rep drafts them their own way and the company does not know what it has promised.
byMovers builds the estimate from the same data it later uses to plan and invoice. What the estimate says is what the system knows.
Everything a moving estimate has to say
- Predefined line items for your company, so two reps do not price the same thing two ways.
- Included and excluded services, written into the estimate itself: no more "I thought dismantling was included".
- Discount and deposit.
- Taxes and insurance.
- Validity date, so a six-month-old estimate is not claimed at last season's prices.
You set the price: byMovers does not make up figures, it gives you the structure so every estimate says the same things and says them in full.
Several estimates per job, or a standalone one
The same customer may ask for the move with and without storage, or on two different dates. In byMovers a job accepts several estimates. And if the enquiry arrives before it makes sense to open a job, you create a standalone estimate and turn it into a job when the customer decides.
With your template, by email
The estimate comes out as a PDF with your templates: your logo, your terms, your way of presenting it. The Quick Start Basic pack, included in every plan, brings five custom document templates. And it is emailed to the customer from byMovers itself, without downloading it and attaching it by hand.
Statuses: knowing what happened to each estimate
Each estimate goes through its statuses: quoted, accepted, rejected — with its reason — and invoiced. The rejection reason is the figure almost nobody keeps and the one that teaches the most: whether you lose on price, on date or on not answering in time.
When the customer confirms, your team marks the estimate as accepted. At that point byMovers notifies the team and, if you have it turned on, the job changes status on its own, so operations knows there is a move to plan.
From accepted estimate to invoice, in one click
An accepted estimate becomes an invoice in one click, without retyping a single line. And invoicing adapts to how the industry bills:
- Several estimates in a single invoice, when the customer booked the move and the storage separately.
- Partial invoicing, for the deposit or for services billed in stages.
- Invoices with VERI*FACTU and TicketBAI, exportable to CONTASOL, SAGE, A3, QuickBooks or Xero (details in integrations).
International moves: multi-currency
Each estimate can be in its own currency, and even each line in its own, with automatic exchange rates or the ones you set. A move from euros to dollars is priced without side spreadsheets. More on international work in international moving software.
The estimate, during the survey itself
With byVisitors the rep takes the inventory at the customer's home, the app calculates the cubic metres and generates the estimate with your template, which the customer signs on the phone before the rep leaves. The inventory can be taken with no coverage; generating and signing the estimate needs a connection. The inventory is covered in detail in moving inventory app.
And the request from your website
The byWebForms quote request form collects the inventory room by room, calculates the total volume and turns it into an opportunity in byMovers, in several languages. The rep starts from an inventory and a volume, not from "I have a three-bedroom flat". How that opportunity is worked, in CRM for moving companies.
Which plan includes it
Estimates and invoicing are in the platform from the PRO plan (€99/month). byVisitors is included in PREMIUM (€259/month) and can be added to PRO for €49/month. byWebForms forms are a one-off payment, from €100 per form, and ELITE includes one advanced form. Details in pricing; the full journey, from form to invoice, on the ecosystem map.
Frequently asked questions
General questions about plans, data migration and billing are in the FAQ. Here, the ones about estimates.
Can I have several estimates for the same customer?
Yes. A job accepts several estimates, and you can also create a standalone one and turn it into a job later.
Who marks the estimate as accepted?
Your team, when the customer confirms. Marking it notifies the team and, if you turn it on, the job changes status on its own.
Can I invoice only part of it?
Yes. There is partial invoicing, and you can also combine several estimates in one invoice.
Does it handle estimates in another currency?
Yes, per estimate and per line, with automatic or custom exchange rates.
Can the estimate be done at the customer's home?
Yes, with byVisitors: it calculates the cubic metres of the inventory and generates the estimate with your template, which the customer signs on the phone. Generating and signing it needs a connection.
Can I use my own templates?
Yes: the PDF comes out with your templates. Quick Start Basic, included in every plan, brings five custom document templates.
