End to end

The journey of a lead

From the moment someone asks for a price until you collect the invoice, with no copying and pasting data between programs.

  1. STEP 01

    The lead comes in

    From an external lead provider, your web form, your own CRM or an AI agent. A single call to the lead capture API creates the complete lead, and if that same lead is resent it is not duplicated.

  2. STEP 02

    Opportunity and assignment

    The lead is stored as an Opportunity, with its own reference and a frozen copy of the form configuration. It is sent to the corresponding sales rep or partner —sequential round-robin or broadcast to several—, with a confirmation email to the contact and an internal alert.

  3. STEP 03

    Complete job file

    The opportunity turns into a job file with the service data, the full route, the inventory, the documentation… Manually or automatically if the form has automatic processing. Your choice.

  4. STEP 04

    Visit and quote

    byVisitors at the customer's home or byVisitors LIVE by video call: inventory by room, cubing, photos and signature. Instant quote and visit report.

  5. STEP 05

    Signature and planning

    The customer accepts and signs the quote in byUsers or byCompany, and the job file changes status automatically, leaving an entry in its history. Then comes planning: resources, vehicles and crew.

  6. STEP 06

    Execution, invoicing and payment

    byOperative out on the road: statuses with GPS position and time, a QR per item, bingo sheet and signatures. On closing: invoice, electronic invoice —VERI*FACTU, TicketBAI or Facturae— and export to your accounting.

Real opportunity statuses: In progress → Opportunity → Transformed into a job file, or Ignored, with the option to reactivate. And on top of that, a follow-up status that each company configures with its own funnel. If the service ends in another city or another country, the job file travels to your partner through byShare.

The ecosystem does not live locked away. These are the doors your leads come in through and your data goes out through, towards the tools you already have: documented APIs, calendars, accounting and taxation.

Public REST API

52 endpoints organised by domain on api.bymovers.io: job files, quotes, issued and received invoices, payments received and made, customers and suppliers, companies and branches and master data. Read-only where it must be; write access on customers and on payments.

Lead capture API

A single call creates the complete lead, with a token per form, protection so a resend does not duplicate the lead, test mode and an audit trail of every call. This is how Happy to Serve, Movers P.O.E., Quot8, ReloAdvisor and TriGlobal come in: connecting a new one requires no development.

AI agents

A JSON-RPC 2.0 (MCP) endpoint so an assistant can query the form schema and register leads. Plus muvly.ai for automatic AI quotes.

Google and Outlook calendars

Two-way synchronisation with Google Calendar and Microsoft Outlook (Graph): OAuth authorisation, encrypted tokens and automatic refresh, incremental every 10 minutes one way and instant the other. Sales activities, follow-ups and on-site and virtual visits. Each user connects their own account.

Accounting and ERP

Xero with OAuth 2, automatic refresh and an inbound invoice webhook; CONTASOL, Sage 100, Sage 1000 and CSV; and our own Windows connector that writes customers, suppliers, invoices, payments, taxes and banks into QuickBooks Desktop.

Taxation

VERI*FACTU with the AEAT, TicketBAI with the Bizkaia and Gipuzkoa tax authorities, and Facturae in-house or via the SERES partner. With signature and certificates, QR, a sending queue with retries and status tracking.

Between companies

byShare: your network of partners

It is not an open directory of companies: you need your partner's tax ID and their acceptance. In exchange, you decide exactly what is shared in each direction.

How the channel is opened

  • You look up your partner by tax ID and get the list of their registered branches.
  • You request the connection, choosing branch and sharing template.
  • The partner receives an email alert and accepts or rejects.
  • Accepting enables the channel: it does not copy data.

The sharing template is the heart of byShare: you choose what is shared in each direction with an allowlist of around 29 job file fields —title, status, move date, volume, distance, visit date, service and transport type, mode, loading and unloading dates, delivery deadline, storage, groupage, weight, insured value, chargeable volume, packing type, scope…— plus the inventory, the routes and the documents. The customer's and the transferee's details, and the partner's incidents and attachments, are always shared.

Sharing a job file creates the mirror job file in the partner's system: it translates the catalogues between the two systems even when they have different types and statuses, generates its own reference respecting the partner's numbering series and copies the inventory and the route if the template allows it.

Currencies, languages, time zones, formats and units are not settings hidden away: they are in the model, in the apps and in the documents.

Multi-currency

The currency is configured per company, branch, customer, document, line item, cash desk or bank and international agent, and one and the same quote can carry line items in different currencies. Exchange rates with our own cache and your own company rates with an effective date that take precedence. Calculation with exact decimal precision.

Four languages

Spanish, English, French and Dutch, with 7,204 texts translated at exact parity and hot language switching. Emails and alerts go out in the recipient's language, and you can keep document templates per language and choose one on each document.

Time zones

Time zone per user, per branch and per customer, with the complete catalogue of world zones (~420) and cascading resolution user → branch → system. Listings and records show the user's time, and a permanent bar reminds them of their local time in real time.

Formats and units

Complete regional formats following the international standard —decimal and thousands separator, currency position, date format and 12- or 24-hour clock— per company and per user, with live preview. Volume, weight and length with a conversion factor.

International move

Sea, air and road, with a catalogue of ports and airports, containers with chargeable volume and weight, customs and warehouses at origin and destination, groupage —road included— and agents at origin and destination, each with their rate and their currency.

Taxation

Tax ID (NIF/CIF) and intra-EU VAT number with country code, tax country independent of the postal one, taxes configurable per company, multiple taxes per line item and reverse charge. The electronic invoicing regulations implemented are the Spanish ones.

Multi-tenant and branches

Each customer with their own subdomain and their own isolated database. Inside, head office and branches with all data segmented, permissions per branch revocable instantly, an independent branch selector in each browser tab and their own numbering series.

Cloud and reliability

Infrastructure on AWS over Kubernetes, with autoscaling by load and queues, a managed database with read replicas, backups replicated to another region, encryption at rest, monitoring with alerts and zero-downtime deployments.

The detail that shows

The time of a visit is the time of the place where it happens, not that of whoever is looking at it.

Email alerts state the time of the service and, in addition, its equivalent in the recipient's zone. And a document's date always corresponds to the zone of the issuing company, no matter who prints it or from where. Verified with tests in three simultaneous zones: America, Asia and Europe.
